Who is responsible for your information
Kintaro Space Systems Limited is the controller for personal information used to operate this website, respond to enquiries and assess applications to work with us. We are registered in England and Wales under company number 15342757. Our registered office is 20 Wenlock Road, London, N1 7GU, United Kingdom.
For privacy questions or requests, email info@kintarospace.com with “Privacy enquiry” in the subject line, or write to our registered office.
Applying for a role
The Apply button opens your chosen email application, addressed to info@kintarospace.com with the role title in the subject. It does not send a message automatically. You choose what to include and must send the email yourself. This website does not host a CV upload form or an applicant-tracking system.
When you apply or contact us, we receive your name, email address, message and any information you include, such as your CV, qualifications, experience, project or research examples, professional links and earliest availability. If the process progresses, we may also create interview notes, correspondence and assessments relevant to the role.
Information is obtained directly from you, from professional material you choose to link in your application, and from our interactions with you. If later-stage checks or references are needed, we will explain the checks and any additional sources before requesting them.
At the initial application stage, please do not send passport copies, bank details, National Insurance numbers, medical records or unrelated sensitive personal information. If you need an adjustment to the recruitment process, contact us with a brief request without detailed medical information; we will explain any necessary follow-up and how that information will be handled.
Applying is voluntary. There is no requirement to provide personal information just to browse the website. Without enough relevant information, we may be unable to assess an application or respond to a request. Any later legally required checks will be explained separately.
Why we use information and the lawful bases
- Considering your application and communicating about it: to take steps at your request before a potential employment contract, under Article 6(1)(b) of the UK GDPR.
- Replying to general enquiries and managing recruitment records: our legitimate interests under Article 6(1)(f) in responding to correspondence, running a fair recruitment process, explaining decisions and dealing with related questions or claims.
- Operating and protecting the website: our legitimate interests under Article 6(1)(f) in delivering the site, diagnosing faults and preventing misuse.
- Meeting legal obligations: Article 6(1)(c), where specific obligations apply, for example checks required before employment or responding to a binding legal request.
We use information only where it is necessary for the stated purpose. We consider the effect on individuals when relying on legitimate interests. If we ask for optional consent for a separate purpose, we will explain that purpose at the time and how to withdraw consent.
Website visits, cookies and links
The website is hosted by Hostinger. Its servers record technical information about requests, including IP address, time and requested page or resource. This information supports delivery, troubleshooting and security of the website.
The page code does not set cookies or use browser storage, and does not load third-party advertising, analytics scripts, social-media embeds or external fonts. This does not mean that hosting infrastructure processes no technical information.
External links, including LinkedIn and the provider information below, take you to other organisations’ services. Their own privacy notices apply when you use those services. Your email provider also handles messages under its own terms.
International processing
Google, Hostinger and their subprocessors may process information outside the United Kingdom, including in the European Economic Area, the United States and other countries where they operate. A UK company email address does not mean that all processing stays in the UK.
The providers’ published data-processing terms describe their transfer arrangements, including applicable adequacy arrangements and contractual safeguards for restricted transfers. Google’s terms include UK GDPR transfer provisions; Hostinger’s terms describe its standard contractual clause and UK addendum arrangements. You can read the Google data-processing terms and Hostinger data-processing terms, or contact us for information about the safeguards applicable to your data and how to obtain a copy.
How long information is kept
Recruitment information is kept while an application is being assessed. After the outcome, we retain only what is needed to answer recruitment queries, address a complaint, meet an applicable legal obligation or establish, exercise or defend legal claims. We determine the period by the date the recruitment process ends, the type of record, any unresolved complaint or claim and the relevant legal time limits. Records are deleted or anonymised when those purposes no longer require them.
If an application leads to employment, information needed for the employment relationship becomes part of the employment record and will be covered by separate employee privacy information. Retaining an application for unrelated future vacancies requires a separate explanation and, where appropriate, permission.
General-enquiry records are kept until the enquiry and any necessary follow-up are resolved, unless a continuing business relationship or a specific legal issue requires relevant correspondence to be retained. Technical logs are subject to the hosting provider’s operational retention arrangements; records retained for an identified security incident are limited to the investigation and any necessary follow-up. Backup copies may remain until the relevant provider’s deletion cycle completes.
Automated decisions
This website does not score, rank or automatically reject applicants. The email application route itself makes no recruitment decision. Any material change to how applications are assessed will be explained before the changed process is used.
Your privacy rights
Depending on the circumstances and the lawful basis, you can request access to your information, correction of inaccurate information, deletion, restriction of use and portability. Where processing is based on consent, you can withdraw it without affecting earlier lawful processing. These rights are subject to conditions and legal exceptions.
Your right to object: you can object to processing based on legitimate interests, including keeping recruitment records on that basis. Contact info@kintarospace.com and explain your request. We will consider it under the applicable data-protection rules.
To exercise a right or raise a concern, email info@kintarospace.com. We may need proportionate information to verify your identity. You can also complain to the Information Commissioner’s Office, the UK data-protection regulator. Its complaints page explains how to raise a concern.
Changes to this notice
This notice describes the website and email application route. We will update it if those arrangements change and provide additional information where a new use of personal information requires it.
